Few things damage a laundry's reputation faster than a lost or mixed-up garment. The customer rarely remembers the hundred orders you got right — they remember the one shirt that came back wrong.
Most mix-ups happen at the same few moments: when items are received, when orders are split for different processes, and when they're packed for return. Tighten those moments and problems drop sharply.
Count and record every item at intake
Record each garment when the order is received — type, colour, and any damage or stains already present. Show the customer the count on their bill so both of you agree on what was handed over.
Tag every garment
Give every item a tag linked to its order before it leaves the counter. Tags should survive washing and pressing, and staff should be able to match any loose item back to its order at a glance.
Keep notes with the order, not on paper
Special instructions — no starch, hang dry, delicate buttons — get lost when they're written on scraps of paper. Record them against the item in the order so every person who handles it sees them.
Check the order before it's packed
Before an order is packed, compare what's in the bag with the items recorded at intake. A quick count here catches most problems before the customer does.
- Match tags to the order record
- Confirm the item count
- Check special instructions were followed
- Mark the order ready only when everything is there
Use one system for every stage
When the counter, the processing area, and your drivers all work from the same order record, there's no gap for items to fall through. Each status change also leaves a trail, so if something does go wrong you can see exactly where.
Handle problems quickly and honestly
Even with good systems, mistakes happen. Keep the customer's history and contact details close at hand so you can follow up fast, explain what happened, and put it right. A problem solved well often earns more loyalty than an order that simply went smoothly.
The bottom line
Lost garments are almost always a process problem, not a people problem. Record items at intake, tag everything, keep notes with the order, and check before packing — and your customers will trust you with their favourite clothes.
