Running laundry pickup and delivery without the chaos

Pickup and delivery can grow your laundry — or bury it in phone calls. Here's how to plan routes, keep drivers organised, and keep customers in the loop.

Pickup and delivery is one of the best ways to win busy customers who never have time to visit a store. It's also where many laundries lose control: missed pickups, drivers calling the shop for addresses, and customers wondering when their clothes will arrive.

The good news is that most of these problems come from a handful of gaps. Close them and delivery becomes a reliable part of your business.

Offer clear time slots

Instead of "sometime today", let customers choose a pickup and delivery window. It sets expectations, reduces failed pickups, and makes it much easier to plan your drivers' day.

Plan the day before it starts

Look at all of tomorrow's pickups and deliveries together, then group them by area. Assigning stops by area rather than by the order they came in cuts travel time and lets each driver do more runs.

  • Group stops by neighbourhood or route
  • Balance the number of stops between drivers
  • Leave some room for same-day requests
  • Confirm addresses and access notes in advance

Give drivers everything on their phone

Paper slips get lost and phone calls to the shop waste time. Drivers should have each stop's customer name, address, items, and notes on their phone, with one tap to navigate and one tap to call the customer.

Update status at every step

When a driver marks an order as picked up or delivered, the whole team should see it immediately. That record also settles any question later about whether an order was collected or handed over.

Collect payment at the door

If customers pay on delivery, record the payment against the order there and then — cash or online. It keeps your end-of-day totals accurate and avoids chasing unpaid orders.

Keep customers in the loop

A short message when the order is picked up, when it's ready, and when the driver is on the way prevents most "where's my laundry?" calls. Customers who know what's happening are far more likely to book again.

Review and improve every week

Look at how many pickups and deliveries each driver completed, which areas take longest, and where orders were late. Small changes to routes and time slots add up quickly.

The bottom line

Reliable pickup and delivery comes down to clear time slots, well-planned routes, drivers with the right information, and customers who are kept informed. Get those right and delivery becomes a growth engine rather than a headache.
